# Configure the Guest Contact Form

> Set request types, routing addresses, labels, and confirmations

Open **Settings → Email Form** to configure the contact form guests can open from the chatbot.

## Delivery and contact settings

* **Default sender email (fallback):** The fallback address used when a request type has no specific address configured.
* **Contact link label (chat header):** The text guests see for the contact link.
* **Contact form title:** The title displayed on the form.
* **Privacy Policy URL:** Link to your hotel's relevant privacy policy.

## Request types

The request-type table supports entries such as **General Enquiry**, **Reservation**, **Cancellation/Modification**, and **Other**. Each type can have an enabled state and a **Send enquiries to** email address. Use the available edit, delete, and **Add Request Type** controls to maintain the options guests see.

## Guest confirmation email

The settings include **Send confirmation email to the guest (sender)**, a confirmation **Subject**, and an optional confirmation message. Enable and customise these only after checking that the text reflects your hotel's response process.

## Form labels

You can customise labels for **First Name**, **Last Name**, **Email**, **Message**, **Send**, and **Cancel**.

## Save and test

1. Update the required fields and routing addresses.
2. Click **Save Settings**.
3. Open **Test your chatbot**.
4. Open the contact form and verify its labels and request types.
5. Send a controlled test enquiry and confirm the expected recipient receives it.

## Link to the form from a chatbot response

Use `[Contact Us](lobbychat://contact)` in suitable chatbot instructions to open the built-in contact form.

## FAQ

### Can different request types use different email addresses?

Yes. The request-type settings provide a **Send enquiries to** address for each type.

### Should I enable guest confirmation emails?

You can, provided the subject and message accurately explain what the guest should expect. A confirmation of receipt is not a booking confirmation.
